SAMCA Version 7.0- General Information and Instructions for installing These instructions assume that you have previously installed SAMCA. These two packages (for MSaccess 97 and MSAccess 2000/2002) contain only the SAMCA database files, not MS Access software, and neither will give you prepared icons to bring up SAMCA. If you have not already installed an earlier version of SAMCA, call Chapter Relations for the SAMCA CD. Before installing this version of SAMCA you should save your existing backend database in a safe folder, where it will not be over-written by this new version. This is the only way you can recover the non-members, local information, and any officer/meeting data you may have entered into your existing version of SAMCA. If you don't save your old database, you will lose the existing data that you have entered. The new version replaces the backend database unconditionally. See the instructions below for saving your backend database. If you are confused about this, call Chapter Relations, and talk to Scharan or John W. This version of SAMCA has several new features and additional data fields. The new data fields are: 1. APICS Hq Email addresses for many members. 2. Most recent chapter rebate amount, and date of rebate. 3. Most recent Certification Maintenance Date. Among the new features are: 1. Mass-mail via Email to all members, including any type of attachments. 2. Select a sub-set of members for the mass-Emailing. 3. Create a Windows Address Book holding all APICS members who have a Headquarters Email address. 4. Recover old data from a previous "back-end" SAMCA database. Installing SAMCA Version 7.0 1. Save your existing backend database. The best way to perform this procedure is to use Windows Explorer. In Windows Explorer, find the existing SAMCA backend data base- its file name is SAMCA_BE.MDB. It will most likely be in the C:\SAMCA folder. Right-click with your mouse on the SAMCA_BE.MDB icon, and select "COPY". Now, in the left window of Windows Explorer, locate the folder in which you wish to save the backend file. Right-click the target folder you have selected, and choose "PASTE". This will cause the file to be copied to the desired folder which you have chosen. 2. Download your version of SAMCA (Access 97 or 2000) from the SamcaFAQ web site. Choose one or the other...don't download both. They are each in zipped format, about 1 Meg each. The URL's for this are at the bottom of the site window. When you click on the link, you will be presented with a window to choose "open" or "save to disk". Choose "save....". Enter a folder path name to save the zip file. This can be C:\SAMCA, if you wish, or it can be any place that you usually download files to. 3. After downloading the zip file, unzip the contents to the existing SAMCA folder, usually C:\SAMCA. 4. You must now load your chapter data into SAMCA. To do this, its best to retrieve your existing non-member data, and other local info you may have already loaded in your previous version. Do this by bringing up SAMCA, choose Other Functions from the Main Switchboard menu, and click on the "Retrieve old data....", and follow the directions. After filling in the windows for locating your old data, click the left most ("First Task") button to load your members and non-members. Follow this by the other buttons, where they apply to your situation. 5. Finally, you can load your data with the latest monthly data. However, you must get a special xxxx.TOT file, containing the new fields. These new fields are not in the regular files that were distributed in February. Call Chapter Relations for your chapter's Version 7.0 TOT file.
